Sending loan documents securely: make a submission register

Sensitive documents should be sent only after the recipient and purpose are verified. A submission register helps you know what was shared, with whom and for which application without creating another uncontrolled copy of everything.

Control the version and destination

Record the document name, covered period, recipient organisation, official channel and application reference. Use the lender's stated submission method and ask what information is actually necessary. Avoid public links containing complete identity or financial records. Keep the original files secure and ensure any copy is accurate. Never share passwords, OTPs or remote-device access as a substitute for a legitimate document process.

A worked situation

If two lenders ask for different statement periods, label the submissions so you do not accidentally send an incomplete version or upload the same sensitive folder broadly. The register needs references, not copies of every account number in a casual spreadsheet.

Your next-step checklist

  • Verify the official destination independently
  • Record document versions and purpose
  • Keep access limited to the intended process

Should I send every available document to speed things up?

Send the relevant requested information through a verified channel. More uncontrolled sharing does not guarantee faster assessment and can make it harder to track where sensitive records have gone.
